How to share your VRBO cleaning schedule with your cleaner

Search for how to share a cleaning schedule with your cleaner and almost every guide gives the same first step: add your cleaner as a co-host with calendar-only access.

That is an Airbnb feature. Airbnb publishes three co-host permission levels: "Full access", "Calendar and messaging access", and "Calendar access". The third one lets the co-host see the calendar and the check-in and checkout details. That is what those guides mean. If Airbnb is your main platform, it is the right answer.

If VRBO is your main platform, the instructions don't match your dashboard. The guides skip this because Airbnb hosts are the bigger audience.

I won't tell you what VRBO's permissions do or don't include. Check your own account under Account, then Users. What follows is a route that works on both platforms and needs no permission tier at all.

Start from your calendar export

Every major platform gives each listing a calendar export. It is a link ending in .ics, in your listing's calendar settings. If you have connected VRBO and Airbnb to each other to stop double bookings, you have used this link already.

Sharing your cleaning schedule comes down to what you do with that link. Three options.

Option 1: send your cleaner the export link

Your cleaner adds the link to Google Calendar or their phone's calendar app. Your bookings show up there.

Most people who try this are disappointed. Two reasons.

A platform export is thin. It contains blocked date ranges. It does not reliably contain the guest's name, phone number, or party size. It often does not separate "this guest leaves at 10am" from "the next one arrives at 4pm". Your cleaner sees a grey block across several days. They need "Saturday: checkout 10am, same-day turn, new guests 4pm".

Each listing has its own link. A cleaner with three of your listings has three subscriptions to manage, each with an unhelpful name. Cleaners who work for several hosts give up on this fast.

Use it if: you have one property, a cleaner who is comfortable with calendar apps, and you mostly need "is anyone there or not".

Option 2: share a Google Calendar

Add your VRBO export link to your own Google Calendar as a subscribed calendar. Share that Google Calendar with your cleaner's Google account. You can add your Airbnb export to the same calendar, so both platforms show in one place.

This is the most common free answer. Three problems with it.

Your cleaner needs a Google account and has to accept the share. That is where many hosts lose their cleaner, especially with a crew.

Changes take hours to show up. VRBO regenerates its export on its own schedule. Google re-reads a subscribed link on its own schedule, and you cannot change that interval. If you added Airbnb too, that is a third delay. The calendar looks correct while it is hours behind.

The thin-data problem from option 1 is still there. Google shows what is in the file. The file is sparse.

Use it if: you want free, you can live with a few hours of lag, and your cleaner already uses Google Calendar.

Option 3: a tool that turns the export into a cleaning schedule

These tools read the same export link and interpret it. They separate check-ins from check-outs, flag same-day turns, and merge several properties and platforms into one list sorted by date.

The result is what a cleaner needs: a day, a property, in or out, and a flag on the tight ones.

There are two kinds of tool, for two different problems.

Push tools send your cleaner a message per job. TurnoverPing is one. It creates a cleaning job for each checkout, messages the cleaner by SMS, WhatsApp or email, and the cleaner replies to confirm. Pick a push tool if you need proof that a specific job was seen and accepted.

Link tools publish one URL. Your cleaner opens it, or subscribes to it once from their own phone calendar. Every time it is opened, it shows the current state of your calendars. Nobody has to send anything. Pick a link tool if you want your cleaner to check the schedule themselves, including changes you forgot to announce.

Neither kind can be faster than VRBO's own export. Every tool that reads iCal waits on VRBO to regenerate the file. A tool that claims real-time sync over iCal is either wrong or is using a direct API connection, which is a different and far more expensive kind of integration.

Check your export link first

Before any of the above, confirm your VRBO export link still works.

If you regenerated the link, or removed and re-added a listing, the old link may still be in Google Calendar, another platform, or a tool. Whatever reads it carries on as if nothing changed. Paste the link you actually handed out into a browser. If it returns your bookings, you are fine. An empty calendar looks like a quiet week, so a dead link can go unnoticed.

Check the other direction too. If you connected VRBO and Airbnb to each other, those are two separate one-way connections. Airbnb's bookings showing on VRBO does not mean VRBO's bookings show on Airbnb. Hosts set up one direction, assume the other, and get double booked.
